CONCESSION PROCEDURES – OPENING THE CONCESSION STAND
Always WASH HANDS, and WEAR FOOD HANDLER GLOVES when preparing food. They are located in the labeled drawers.
Do not charge officials for any product they need. Athletic Director or assistant will get this product (must be one of these persons).
All cabinets are clearly labeled, indicating what is located on that shelf or in that cabinet. Please be sure to put things back in their proper location. If you cannot find something, please be sure to look for a label that would indicate where the product you are looking for is located. If it isn’t there, we have to assume that it is out of stock. Please indicate this on the inventory sheet at the end of the event. If you find something where it shouldn’t be, please put it in its appropriate place. This way you will have it when you need it, and the next crew to work will also be able to find it.

AT THE BEGINNING OF THE SHIFT:
- Plug in nacho cheese dispenser. Place bag of cheese in dispenser located in the cooler or from cabinet under the machine. If starting with a new bag of cheese, you MUST use a new hose. These are located with the bags of nacho cheese in the cabinet. Nacho chips and trays are also located here.
- Plug in roaster oven and make sure it is set at the LOWEST heat setting. Place 4-6 pretzels in the roaster oven to begin warming. Use pretzels from the cooler first, then use pretzels from the box located on the shelf below the counter near the door. If you are using pretzels from the cooler, do not return them to the cooler at the end of the shift. These will have been heated twice, and should not be heated again.
- Plug in and turn on hot dog griller. Flip the green buttons up and turn the dials to 8. Start with six (6) hot dogs for swim meets, six 6) for volleyball games, or fifteen (15) for basketball games. Cook more as needed. Hot dog buns are located in the cooler or under the counter near the door. When hot dogs are done cooking (reach an internal temperature of 165 degrees,about 15 minutes or plump), using gloves, place hot dog in a bun and wrap in one of the aluminum foil wraps (located in drawer beneath roller) and place in the roaster oven.
- Count beginning cash in cash box(es) to make sure it matches the amount on the cash sheet. This must be done by two people. Sign in the upper right corner. Do not put an itemized count of bills on the reverse side. This is for end of shift ONLY. Place the cash tray in the drawer(s) that are labeled for this. (Two cash boxes for Varsity games or larger events.) Place the padlock to the cash box into the original cash box case, and leave it unlocked. In this cash box will also be a pizza order confirmation sheet, a closing checklist, and an inventory sheet. These will be used at the end of the event as well.
- Turn popcorn master oil switch to “on” position. Flip all additional switches to “on” position. Open the cabinet below the machine. There is a red button on the box on top of the oil- back side. Be sure to push this button to begin heating the oil in the canister. For the first event of the season, this will take a long while as the oil solidifies during the summer – be patient. Machine will beep when ready, and continue to beep until oil is dispensed and popcorn put in. Push oil dispenser button located next to the oil master switch once. Fill one full blue cup of popcorn from metal drawer underneath machine, add approximately 6-8 shakes of popcorn salt to it, and pour into kettle. Popcorn machine will beep when corn is popped and ready to dump. Dump kettle and bag popcorn. Repeat these steps if making additional popcorn. If not popping popcorn, turn kettle heat to “off” position. Turn it back to the “on” position when ready to pop more popcorn.
- Place candy from labeled cabinets on the counter. For Varsity basketball games only, set up and sell product from both windows (2 sets of everything).
- Place pickles on counter. When selling pickles, use tongs from the utensil drawer to remove them from the jar, and place in the white hot dog trays. These trays are NOT used for hot dogs - they are used for pickles ONLY. Place condiments, napkins and coffee accessories on the outside counter or on the table with the microwave outside the concessions.
- Make coffee using supplies located in labeled areas.
- Place large folding concession sign in the hallway leading to the gym/pool.
- Tape the yellow signs indicating vending machines are turned off over the coin slots on all of the soda vending machines.
- Pizza is pre-ordered from Relli’s, and the quantity and time of delivery is noted on the printout located in the cash box. Additional pizzas may be ordered by calling 669-9243 (allow 30 minutes for delivery) and tell them you are working high school concessions. Use your own judgment on this depending on how large the event is, how fast pizza is selling, and whether pizzas will be delivered prior to the end of the event. Pay for the pizzas as they are delivered using cash out of the cash box. Be sure to get a receipt, and place all receipts in the cash box. Indicate the amount paid on the pizza order form in the correct column, next to the delivery order. Do not tip the pizza delivery drivers. Use paper plates for serving slices of pizza. You can place slices of pizza onto paper plates and stack them in the pizza warmer, especially when it is particularly busy. This way you have it ready to serve. BE SURE TO USE GLOVES WHEN HANDLING THE PIZZA!
- When serving nachos or pretzels, there are two different sized trays you may use. The smaller nacho trays are for nacho chips and cheese. WEARING GLOVES, fill the larger compartment with chips, and fill the smaller compartment with the nacho cheese from the cheese dispenser. The larger trays are for pretzels when they are purchased with cheese (this is an additional .50). Leave the warm pretzel unopened in its plastic wrap and place it in the larger compartment, and fill the smaller compartment with cheese. Pretzels served without cheese may be sold on a paper plate or simply as they are. If someone requests a side of nacho cheese or jalapeno peppers (jalapenos are located in the jar in the cooler), use the small portion cups and lids to provide this. These additional sides are .50 each. If you run out of the larger pretzel trays, use paper plates and plastic portion cups with lids for the cheese.
- Be sure that all beverages are fully stocked in the cooler near the window. The entire top shelf is reserved for Coca Cola Classic, the entire second shelf is for Diet Coke, and the entire fourth shelf is for water. When refilling the cooler throughout the night, use the cold beverage products from the back cooler. If you remove cold product to restock the front cooler, please replace it with the same product found in the corner by the sink. Do not restock the front cooler with the warm product – it will not cool in time. Also, DO NOT stock different flavors of soda together in a row. For example, if there is not enough Coke to completely refill the top shelves, do not fill in empty rows with Sprite or Diet, or any other flavor. SIMPLY LEAVE IT EMPTY! The third shelf is a combination of flavors. On the left, stock with Sprite. On the right side of the cooler, stock 2 rows with the Dasani Sparkling water, and the rest with Cherry Coke. The bottom should be stocked with Powerade: 5 rows Blue, 3 rows Red, 2 rows Lemon-Lime.
(Note: Please keep in mind that we DO NOT sell hot chocolate at this concession stand. If anyone requests it or wants to know why, it is due to the sticky nature of it in the case of spills. Also, we do not sell breakfast type products as a normal course of concession operations. We have found that these products do not sell well, and we have to dispose of it.)
Push and hold the “OPEN” button on the wall next to the coffee maker when ready to start selling concessions. Have a great event!
THINGS TO KNOW
- When re-stocking beverages into the front sales cooler, always use the cold beverages in the storage cooler FIRST.
- If all of a type of beverage is used from the storage cooler, please put more in from the extra stock in the corner. This way it will be cold for re-stocking during a concession shift, and ready for immediate sale.
- At the end of a concession shift, please re-stock all coolers, using storage cooler stock to refill main coolers first, and then placing additional into the storage cooler.
- Do not put any food items into the beverage storage cooler. Extra beverage stock may be placed in the bottom of the food cooler if needed.
- Please wipe up any spills in the cooler. This prevents spoilage, contamination, and just plain ickiness!
BEVERAGE RESTOCKING
When placing new beverages into the cooler, you must rotate the stock. Sodas, sports drinks, and carbonated waters all have expiration dates. Please place any beverages that are for refilling the cooler BEHIND any beverages that may still be in the cooler. This way our stock is used on a "First In - First Out" basis.
We cannot sell any item that is beyond its expiration date. If you find any item that is expired, please set it aside.
